Refund Policy – Domestic Students

Purpose

The purpose of this policy is to ensure that Imperial adopts a refund policy that is fair to students who have valid reasons for requesting refunds and who give Imperial sufficient notice while at the same time protecting Imperial from suffering an economic loss that may be caused by refund requests that are not submitted within the required timeframe, This policy also complies with  Standards of Registered Training Organisations (RTOs) 2025.

Scope

This policy and procedure applies to all the domestic students enrolled by Imperial as well as all the prospective domestic students who pay part or total advance fees when applying for a place at Imperial

Definitions

Tuition Fee: Covers the cost of providing the course of study and use of resources at Imperial. Tuition Fee does not include Application Fee/Enrolment Fee, Material Fee, Students Kit, and costs related to equipment or training material purchases

Application Fee: Covers the administrative costs of enrolment

Fees: A total of tuition and non-tuition fees payable by the student

Fee Due Date:               Four (4) weeks before commencement of a Course term as per Imperial’s course calendar

Agreed Start Date:       for a course means the day on which the course was scheduled to start or a later day agreed between the Imperial for the course and the student

 

Policy

A refund of tuition fees will only be granted in accordance with the refund policy set out below:

Fee Refund Conditions

Refund Applicable

1. If Imperial receives a written notice more than 28days before the commencement of the course of withdrawal, termination of the agreement or Imperial fails to provide the agreed services

1. All fees paid in advance will be refunded, minus administration and processing charges of AUD$250.00.

2. If written notice is received between 14-28 days before the commencement of the course,

2. 85% of the course fees, minus administration and processing charges of AU$250.00.

3. If written notice is received less than 14 days before the course commencement date

3. There will be no refund of fees.

4. If the student withdraws after the semester has commenced,

4. There will be no refund of fees. Students will have to pay any unpaid fees for that semester to Imperial.

5. At the time of enrolment, any Credit Transfer(CT)/Recognition of Prior Learning (RPL) will be discussed & granted after the student provides sufficient evidence,

5. If the Credit Transfer allows for shortening of the course duration, pro-rata fees will be worked out and offered to the student. Once the student accepts this offer, there will be no further fee reduction.

 

Process for Claiming Refunds

  • Refund applications must be written in writing on the Application for Refund Form; set out the reasons for the application; be accompanied by supporting documents as appropriate, and be forwarded directly to Student Admissions at Imperial.
  • Refund applications will not be processed where the signature on the Application for Refund Form does not match the Student’s signature as shown on other documents provided by the Student for admission to the College.
  • The funds covering the fees must be cleared (i.e. cheques cleared, telegraphic transfers received etc.).
  • All debts to Imperial must have been paid before any refund can be calculated, with any outstanding amounts to be deducted from the refund.
  • Where a Student is dissatisfied with a decision to provide or not to provide a refund, they may appeal that decision in accordance with the Complaints and Appeals Procedures of Imperial.
  • This procedure, and the availability of complaints and appeals processes, do not remove the right of the student to take action under Australia’s consumer protection laws.
  • All refunds will be paid within 28 days of receipt of the student claim

Appeals:

Once a decision is made on a student’s application for a fee refund, the student will be notified in writing of the outcome, including the reasons for the decision.

Students should also refer to Imperial’s “Complaints and Appeals Policy”, available from the college, for information on lodging an appeal against a decision.

Responsibility

The Administration Manager his/her responsible for processing the refund claims and providing the student details and fee status to the CEO for effective implementation and maintenance of this procedure.

CEO has the responsibility to make a final decision about all the refund claims. In addition, the CEO is responsible for effectively implementing and maintaining this policy and procedure.
